OPRS Submit FAQs
The OPRS Online Submission system was created to allow study teams to submit research documents to the OPRS electronically. This saves you time and paper on your end, not to mention the time you might have spent walking over to the OPRS Office.
Here's how it works:
Who has access to the Magic Mailbox?
As of April 11, 2005, all DFHCC staff have access to the OPRS Online Submission System.
What do we accept in the Magic Mailbox?
Amendments, Continuing Reviews, Adverse Events, Violations, Deviations, Exceptions, Response to IRB/P/SRC Reviews, Closure/Re-Open to Accrual Notices.
What do we NOT accept in the Magic Mailbox?
At this time, we do NOT accept New Project Applications or revised/updated Investigator Drug Brochures (IDBs) through the Magic Mailbox.
What about signatures?
You must cc the overall PI on your submission. By doing so, we will accept these documents via the magic mailbox without a hand-written signature.
Do you need additional hard copies?
NO! Please do not submit additional hard copies. This will only add confusion to an already intricate system.
How many documents can I submit at once?
There is no limit on the number of documents/attachments that may be sent at one time. Additionally, you may submit different types of IRB submissions at one time. For example, a continuing review and an amendment can be sent at the same time to the IRB as long as they are for the same protocol.
What if I make a mistake on my submission?
We cannot accept documents that are incorrect in the magic mailbox. It is vital that you submit the absolute correct information. If we receive a document that is labeled incorrectly with the wrong study ID, then we will delete it from the system and notify you that you'll need to resubmit.
How should I label/name the documents that I'm submitting?
As of April 11, 2005, each type of submission has preset document subtypes for users to select. For example, when a user selects Amendment, he/she will then be asked to select one of the following as the document subtype: Amendment form, Underlined Protocol, Clean Protocol, Underlined Consent, etc. Such a feature should be useful to study teams in ensuring a complete submission.
How do I attach the documents to the system?
By clicking on "Browse" after you have selected both the Document Type and Subtype for each line.
What if I can't access the OPRS Submit?
If you have privileges to OPRS Submit but are unable to access the system, please contact Partners IS (617-632-3399). If you have not obtained privileges but would like to, please contact the OPRS main line (617-632-3029) and request to speak with an Online Coordinator.
Once my privileges to OPRS Submit are granted, how do I access the system?
The OPRS Submit system is accessible through the Clinical Trials (CT) Portal. For Partners Users, the CT Portal is located in the Partners Applications menu (through the Start button). For Non-Partners Users, the CT Portal is accessible through the following URL: https://webctportal.mgh.harvard.edu.
