The New Research Staff Checklist is the single, best resource for new HCC research staff and will walk you through most of the important steps for bringing new personnel onboard.

Depending on your research role, you may need to request profiles and/or access to some or all of the systems below.

OnCore
HCC uses OnCore as a clinical trial management system (CTMS) to house key information on each HCC research project, research personnel, and subjects registered to HCC studies.
- All HCC research staff need to have a profile in OnCore.
- Some research staff will also need access to OnCore, to be able to log in and perform tasks within the system. This includes things like maintaining protocol staff lists and registering subjects to a study. Additional training is required to obtain OnCore access.
ONCPro
OncPro houses all current, active study documents.
- Any research staff who will need to view and/or download protocol documents, consent forms, etc. will need access to OncPro.
iRIS
HCC uses iRIS as a protocol review and monitoring system (PRMS). This system is used to submit new research projects as well as administrative updates, and continuing reviews for review and approval. iRIS facilitates the appropriate review of all submissions by the SRC, IRB and key feasibility reviewers as needed.
- Any research staff who will be submitting new or changes to research projects for review and approval will need access.
- Principal Investigators will always need access to iRIS to review and approve submissions.
OncPro, OnCore, and iRIS
The process to request access differs based on your home institution.

Staff Profiles
Before new research staff can be added to protocols, they must have a staff profile in the applicable system. OnCore and iRIS are separate systems and updates in one system do not automatically occur in the other. Profiles and access must be requested separately.
If a user is granted systems access, they will already have a profile created. However, in some cases a user may need a profile only (e.g., many investigators have profiles in OnCore but no system access role.) Please follow the specific directions on the New Research Staff Checklist to request a profile and/or systems access.
Changing the PI of an Existing Protocol
Principal investigator changes review and approval by the IRB of record. When the PI changes at any HCC institution, this must be submitted as an amendment in iRIS. Research staff must not make changes to the PI in OnCore.
UPDATING RESEARCH STAFF IN OnCore
Each site is responsible for making their staff updates in the system (except PI changes). Please see the Protocol Staff Tab in the OnCore WIKI.
Updating Research Staff in IRIS
Each site is responsible for making their staff updates in the system and should only include staff from their institution under their Key Study Personnel. As per the above, changes to a HCC PI require an amendment. Please see the iRISQuick Reference Guide in the iRIS WIKI.
When Research Staff Depart
If a staff member leaves the institution or moves to a new role, the participating site must:
1. Update the protocol staff tab in OnCore with the stop date and reason for each protocol on which the staff member is listed.
2. Update the key study contacts in iRIS for each protocol on which the user is listed.
3. Open an IS Help Desk ticket to deactivate the OnCore and iRIS profiles and remove access. When opening the ticket, please make sure to indicate OnCore – DFCI and/or iRIS as the application in use.

Provided by direct supervisor or institutional clinical trials office.

Required. This will be provided by the protocol PI or designee.
