OnCore Information

Dana-Farber/Harvard Cancer Center (DF/HCC) implemented the OnCore® Clinical Trials Management System (CTMS) in 2012. The enterprise research system manages many components of clinical trials research activity across the consortium, including clinical, regulatory, financial, and administrative tasks. The system also shares subject enrollment information and billing grids with Epic, the electronic health record (EHR) utilized by Partners institutions. This integration with Epic and other systems eliminates duplicate data entry and improves data integrity.

OnCore enables investigators, researchers and staff to conduct research in an easily organized and efficient manner. In addition to managing administrative tasks, OnCore collects and stores research data for future analysis and reporting.

OnCore FAQs

OnCore is a Clinical Trial Management System (CTMS) developed by Forte Research. OnCore was purchased by DF/HCC to serve as the “single source of truth” for all oncology clinical trials at DF/HCC.
OnCore stores a range of information including protocol, subject and financial data. A few examples include: • Study details, such as title, phase, treatment type and accrual goals • Participating institutions • Status and regulatory review history • Subject demographics status, and status dates, such as consent signed, eligibility and treatment start • Subject study schedules and visit-specific procedures • Study budget/billing grid
OnCore is linked to several other systems at DF/HCC, including Epic, COE, and caTissue to name a few. The goal of these interfaces is to reduce duplicate data entry and promote seamless flow of information between systems.
All DF/HCC staff working on oncology trials will eventually have access to OnCore. RIO is working on rolling-out OnCore to all DF/HCC institutions. Currently, OHRS, ODQ, DFCI and MGH CCPO staff have view and edit capabilities in OnCore. Some staff at BIDMC, BWH and BCH may have the ability to view information in OnCore.
RIO is following a phased approach to roll-out OnCore to every member participating in oncology clinical trials across DF/HCC. Yes, this is true. Many studies currently use ODQ to register subjects to clinical trials. When a new participant is enrolled onto a clinical trial, the study team submits paperwork to ODQ; ODQ then enters this information into OnCore. This process is followed by all research staff at BIDMC, BWH and BCH and for select trials at DFCI and MGH.
DF/HCC is currently implementing a new process that allows study teams to register subjects directly into OnCore instead of submitting paperwork to ODQ. With this new, decentralized process there are a few changes to the eligibility review process, including a new format to the eligibility checklist and the introduction of an Enrollment Monitor, who is responsible for confirming eligibility prior to completing a subject registration in OnCore.
This process is currently followed for almost all studies conducted at DFCI and MGH.
RIO provides extensive training on this new process prior to transitioning from the ODQ subject registration process. There is also plenty of documentation, including checklists, quick guides and training manuals, to guide you through the process once you start following the new, decentralized process. Stay tuned for communication from RIO on when you will be ready to transition.

ODQ is responsible for performing quality checks on decentralized subject enrollments. Currently, teams scan and e-mail the signed consent form, completed eligibility checklist, and sponsor confirmation (if applicable) to regqc@partners.org for the first six subjects for a given study that have been put “On Treatment” in OnCore.
